Five questions a clinic owner wants answered every morning

This is a demo of the aelo dashboard on a fictional clinic. Each block is one question, the answer in big numbers and what to look at. No economics degree needed.

Bereh Dentalfictional clinic: 3 chairs, 4 doctors, Mon–Sat 9:00–20:00
01

Is the clinic full?

Mostly yes.

chair utilisation78%
hours booked618 of 792
revenue per chair hour₴1,970
Utilisation by day and hour

Most free hours: Sat 09:00 and Sat 19:00.

What it is

Utilisation is the share of chair working hours taken by patients. Three chairs, 11 hours a day, six days a week — that is all the time the clinic can sell.

What to look at

Light cells are hours when chairs stand idle. You fill them with reminders and bot booking, not with new ads: the patients exist, that hour is just inconvenient for them.

02

Who brings the money?

Most of all — Iryna L., 35% of revenue.

  • Iryna L. prosthodontist₴540,00070 visits · ticket ₴7,714

  • Olena K. dentist₴380,000220 visits · ticket ₴1,727
  • Svitlana P. hygienist₴210,000140 visits · ticket ₴1,500
Revenue by day

What it is

A doctor's revenue is the sum of paid work. The average ticket is revenue divided by the number of visits.

What to look at

A low ticket for the dentist and hygienist is normal: they have many short visits. What matters is whether their patients then reach the prosthodontist and the surgeon.

03

Do patients come back?

64% come back, 9.4% of bookings didn't happen.

What happened to bookings · 574 bookings in total
  • took place 520

  • cancelled 15
  • no-show 10

What it is

“Come back” is the share of patients who visited again within 12 months. LTV is how much a patient spends at the clinic over time on average. NPS is whether they would recommend you, from −100 to 100.

What to look at

No-shows and cancellations are lost chair hours. A rescheduled booking isn't lost if the bot offers a new time straight away.

04

Do ads pay off?

Yes. A new patient costs ₴441 and brings ₴18,400 over time.

Instagram₴14,0008₴1,750
Bot and referrals₴040₴0

Instagram costs more than Google: ₴1,750 vs ₴543 per patient.

What it is

The cost of a new patient is the money spent on a channel divided by the number of new patients from it.

What to look at

Compare it with what a patient brings over time (LTV), not with the first ticket. Referrals and the bot bring new patients for free — feed them by asking for reviews.

05

How much does the clinic earn?

₴361,200 profit, 23% of revenue.

profit₴361,200
margin23%
break-evenday 13
Where revenue goes
When the clinic moves into profit

What it is

Variable costs grow with revenue: materials, lab, doctors' share. Fixed costs are the same every month: rent, administrators, utilities. Break-even is the day of the month after which the clinic is in profit.

What to look at

If break-even moves towards the end of the month, utilisation is short or the ticket doesn't cover variable costs. Look back at the first question.
